Virtual trainings are a great option if an in-person training is not possible and may eliminate barriers that could keep an organization from partnering with you on Breathe. So feel free to give partners the option of virtual trainings and use the tips below to help your virtual training be successful.
Steps for Conducting a Virtual Breathe Training
**The Steps Before and After a Breathe training and the Breathe Refresher webpages provide additional steps that need to be followed regardless of the format of your training, so be sure to review those pages as well.
Before a Training
- Make a plan to distribute Breathe kits to the organization either before or after the training and communicate this to your site contact along with a plan of how to distribute the resources among their staff.
- Confirm if participants will all be in one room viewing you on a computer screen or if they will each be on separate computers/devices as this will impact how you deliver the training.
- Notify Health Ed Pros of your training and submit your order for Breathe kits at this link (you may have the kits shipped to you or directly to the organization). This will alert Health Ed Pros and put your training on the master Breathe calendar and ensure evaluation reports are completed.
- Place an order for Quitline materials and have those sent to you or directly to your site contact. Let your site contact know to expect the materials and how to best distribute them among the staff.
- Select the virtual platform you will use (Zoom, Webex, Teams, etc.) and become familiar with how to use it and how to incorporate various interactive elements such as a waiting room, chat box, etc.)
- Select a co-host or co-trainer and practice the training with them. If they have completed the Breathe Training for Funded Partners they could lead some sections of the training so determine who will take the lead on each section. All of the Breathe Training PowerPoints are meant to be used for both in-person and virtual trainings and include a script in the notes section along with suggestions on how to modify any of the activities for a virtual training.
- If using a co-host (rather than a co-trainer) determine what their specific tasks may be, such as managing the tech aspects, monitoring the waiting room, chat box, attendance, etc. Virtual Training Co-host tasks Sample provides several tips for using and training a co-host.
During a Training
- Modify the training as needed for a virtual format, using the suggestions in the Notes section of the PowerPoint as a guide.
- Have participants complete the online pre and post-assessment surveys by putting the links in the chat box and/or using the QR code in the presentations. If participants are all in one room, another option is to have your site contact pass out and collect hard copies of the Breathe Pre-Training Assessment Updated 7.7.23 and Breathe Post-Training Assessment Updated 7.7.23 and mail them to you after the training.
- Collect participant contact information either in the chat box or from the organization’s leadership so you can complete the required follow-up steps. If you use the chat box, be sure to copy and paste the contact information submitted or download the entire chat box to pull the information out after the training. This is a great task for your co-host.
After a Training
- Follow the normal steps outlined in the Steps After a Breathe Training section to submit the required training materials to Health Ed Pros and to follow up with the organization’s leadership and the training participants.
- If you have not already done so, deliver/ship Breathe kits and Quit Now Indiana materials to your trained partner.
